WhatsApp workflows for enquiries and follow-ups

Plan permission-based enquiry capture, reminders, CRM updates and human handoff through official business integrations. Keep account ownership, provider approval and running charges clear.

Who this service is for

Businesses whose message volume or shared enquiries require routing, a common record and named staff ownership. The ordinary Business app or available native tools may already meet a smaller team's needs.

What the engagement can include

  • Business-account and integration readiness review
  • Opt-in, opt-out and message-flow design
  • Official Cloud API or assessed provider connection
  • CRM field mapping, assignment and staff handoff
  • Template testing, delivery status and operating notes

A practical workflow example

A consenting visitor requests an appointment update. The workflow records the request, checks the agreed source system and routes an approved message through an official provider. Reception remains responsible for confirming availability.

When something goes wrong

Missing permission suppresses outbound messaging. A provider rejection is recorded for staff review. A delivery receipt is separate from a customer's acceptance, and a bot must not invent an appointment slot.

Client responsibilities and integrations

Supply business-controlled accounts, authorized administrators, appropriate messaging permissions, template content, a staffed handoff and access to the system being connected. Provider approvals remain with the provider.

Implementation and running costs

TEAM-PSMPV discovery, setup and support fees are separate from Meta/provider messaging charges, hosting, CRM subscriptions and optional model usage. Review current official account-specific pricing before quoting usage numbers.

Ownership, handover and support

Keep business and messaging accounts under the client's control. Document templates, permissions, exports, opt-out handling, escalation and support coverage in the agreement.

Evidence and limitations

The synthetic sandbox shows permission checks, duplicate handling and failure escalation without connecting a real messaging account. The existing hospital work page is a separate public implementation reference.

Common questions

When is the Business app enough?

A manageable enquiry volume with clear manual ownership may not justify a custom API connection. Review the features actually available in your account first.

Can messages update an existing CRM?

Where supported access exists, agreed fields can be updated using duplicate rules and a named owner. Integration is subject to permissions and provider limits.

Do you guarantee approval?

No. Verification, templates, availability and restrictions are decided by Meta and the selected provider. Integration does not replace consent or platform rules.

Evaluate the next step

Use observed volumes and a realistic support allowance before commissioning a workflow. A qualification discussion can establish fit and the boundaries of any diagnostic work.
