Start with the task, not a universal package
A short enquiry-routing workflow and a multi-system migration have different costs. Record task volume, handling time, the required outcome, affected systems and the person who reviews exceptions. Compare a clearer manual process, an existing software feature and a custom integration.
Separate the cost components
A proposal should distinguish discovery, data preparation, implementation, migration, testing, training and handover. Running costs may include hosting, model usage, messaging-provider charges, CRM subscriptions, monitoring and staff review. Agree support hours, exclusions, ownership and how taxes are treated.
What changes the quote
More systems, poor-quality records, complex roles, higher volume, extra languages, private hosting and demanding support coverage affect scope. Provider approval, API access and paid-plan requirements can add constraints. Review current official provider terms for the actual account before publishing numeric usage rates.
An illustrative calculation
For 300 monthly tasks at eight minutes, manual work is 40 hours. At 60 percent automation, gross released capacity is 24 hours. Subtract five review hours to get 19 net hours. At an illustrative INR 250 per hour that represents INR 4,750 of capacity value; INR 2,000 running costs leave INR 2,750 net monthly value. INR 30,000 setup divided by that value is about 10.9 months simple payback. These are editable assumptions, not market prices or a measured client result.
Released time is not automatically cash saved
Staff capacity can improve responsiveness or allow other work without reducing payroll. Revenue also depends on demand and execution. If review time exceeds released time or running costs exceed capacity value, the assumptions do not produce a positive simple payback. Include those cases instead of hiding them.
Ask for a decision-ready scope
Confirm the baseline, acceptance test, account owners, staff responsibilities, integrations, retry behavior, exports and support obligations before approving implementation. A bounded diagnostic can establish missing facts and may recommend postponement.
Frequently asked questions
Separate discovery, implementation, migration, testing, training and handover from recurring hosting, provider usage and support. Confirm taxes, exclusions and account ownership before comparing quotes.
