Can a chatbot answer only from approved documents?

Approved-source retrieval can constrain an assistant, but it still needs evaluation, source ownership, access controls and a human fallback.

By TEAM-PSMPV. Published . Examples are illustrative; assess the assumptions for your own workflow.

Define the source boundary

Inventory the documents a user is authorized to access. Remove obsolete or contradictory content, name the source owner and define how updates are applied. A source citation is useful only when the cited material actually supports the answer.

Evaluate unsupported questions

Test present, absent, ambiguous and conflicting answers. Check refusal and escalation behavior, including attempts to cross role boundaries. Any accuracy claim needs a recorded sample, test conditions and limitations, not an attractive demonstration alone.

Keep consequential actions with people

An assistant should not independently approve payments, diagnose a patient or promise an appointment based on generated text. Use deterministic checks and explicit staff approval. A searchable FAQ may be sufficient for some tasks.

Private deployment is a separate decision

A business-controlled server changes hardware, model licensing, security, backup and maintenance responsibilities. On-device product experience can inform discovery but does not prove every private deployment is supportable. Assess resources, acceptable accuracy and an operating owner before choosing a model.

Frequently asked questions

No. Check that the cited document supports the answer and that the user is allowed to access it. Evaluate absent, conflicting and ambiguous answers as well as straightforward questions.

Examples explain a decision process using stated assumptions. Check current official provider availability, account access and pricing before implementation. Use observed task volumes and handling times when assessing a real project.
